Meeting called at 7:00 pm

Business

Financial Report – Steve S.

A current report was not available due to pressure of the Barnside Festival.

Southpointe BBQ – Steve S.

This was successfully completed with Steve S., Darlene S., Meg, and Steve K. The club covered the general cost of the hot dogs and a cheque for $1,000 will be received by the club from Southpointe Academy.

Barnside Harvest Festival – Steve S. and Dave S.

In general, this was a great success. It is expected that the club will net approximately $13,000. Due to the weather and other factors there was quite a lot of food left over but it is being sold over time. The chair check also worked well and both Steve S. and Dave S. thanked the volunteers.

Community Donations Committee – Barry H.

Barry H. was unable to be there, but he had sent out 2 documents suggesting the Donations Criteria and “Large Group Donation Analysis”. Generally, the Board agreed with the criteria, but concern was expressed that the committee should not avoid making donations to help local individuals who are in need. There was considerable discussion concerning the lack of committee members to help Barry H. and about the different proposals made. It was suggested that the following be approached to serve on the committee: Doug Bunker, Patti Bedard and Zahir Dossa. Dave S. said that he would follow up with these members.

Concern was expressed by a few board members concerning making a donation to the Ladner United and Benediction Lutheran churches to support a Syrian family of 5, as well as making a donation to Elder College. However, appreciation was expressed with the work done by Barry H. to come up with this initial list.

Membership – Lori H.

It was reported that Brian Decock had resigned his membership in the club; that John Brewer was rejoining the club, and that Peter Hay might be interested in rejoining. Steve D. will follow up with John Brewer and Dave S. will follow up with Peter Hay. The Board then discussed the new member interview process. The discussion covered ways of ensuring that the club fits the needs of the prospective member and vice versa, as well as understanding a bit more about a prospective new member. It was suggested that a prospective new member be first of all invited to a regular club meeting where they could see what the club was all about as well as meet other members. There would then be a one-on-one meeting arranged between a Board member and the prospective new member. After that if the prospective new member was still interested then they would complete an application form which would then be submitted to the Board for approval.

Remembrance Day – Peter T.

Peter T. reminded the Board that the club should make sure to buy a wreath through the Legion, and then arrange for one or more members to represent the club at the Remembrance Day ceremony in Ladner.
